Retention and Deletion Requests
Record categories, verification, retained legal records, and account closure.
Keep what is needed, not everything forever
SoundSync retains information for the purpose it serves: operating accounts and purchased access, handling support, honoring marketing preferences, securing the service, and meeting applicable tax, accounting, dispute, and legal obligations. Unnecessary information should be deleted or anonymized. There is not one blanket retention period for all information.
Retention depends on the record and jurisdiction. A tax record can have a legally required period that differs from a support message or routine security log. Required financial records are not a reason to retain every optional profile field.

How record categories are treated
These are the selected operating retention periods, administered through support and periodic review. They are not a claim that every record has an automated deletion job. Longer retention needs an applicable obligation or documented reason; access is restricted during a hold.
| Record category | Retention purpose |
|---|---|
| Account and profile | For the account and requested services; unnecessary fields can be removed after verified closure |
| Orders, entitlements, licenses, and devices | For purchased access, customer support, and applicable legal obligations |
| Tax, payment, refund, dispute, and payout records | For the period required by the relevant jurisdiction and any unresolved matter |
| Closed support tickets | Working retention schedule: delete or anonymize 24 months after closure, unless an unresolved dispute, security investigation, legal requirement, or documented hold requires retention |
| Routine security logs | Working retention schedule: 90 days from collection; relevant incident evidence may be retained for the investigation and applicable legal obligations |
| Marketing contacts and activity | For permitted communication and reporting; unsubscribe stops marketing use |
| Consent and suppression records | Minimal information necessary to honor choices and demonstrate consent |
| Backups | Target: expire rolling backups within 35 days of creation. Provider-specific expiry has not yet been verified, so this is not a guaranteed deletion deadline. Deleted records are not restored to normal use; a recovery must reapply completed deletions |
Request access, correction, export, or deletion
Send access, correction, export, deletion, or account-closure requests to support@soundsyncsolutions.biz. We aim to acknowledge privacy requests within five business days and respond without undue delay, ordinarily within one calendar month of receipt. We explain any legally permitted extension, identity checks, retained records, and next steps within the applicable deadline; verification is not a blanket reason to restart the clock. Closing an account, unsubscribing from marketing, and deleting personal information are different requests. No instant, all-record deletion is promised.
Tell support which account and request you mean. Do not email passwords, full card details, or other unnecessary sensitive information. Verification should be proportionate to the request.
What may remain after deletion
Necessary transaction, tax, dispute, consent, suppression, and legal records may be retained with restricted use. We explain applicable exceptions and any effect on purchased access rather than promising that every record can be erased immediately.
Backups and restored records
Backups follow a separate recovery lifecycle. The 35-day period is a target, not a guaranteed deletion deadline. A restoration must reapply completed deletion requests and marketing suppressions before restored records return to normal use. Contact support for the status of a specific request and any retained records.
Import jobs, media, and deleted campaign reports
Import jobs keep source provenance, proposed product data, warnings, mappings, and progress needed for review and recovery. Raw export rows are discarded from completed job data after a successful commit; mappings, provenance, and reviewed product data remain. Unfinished jobs can retain source material while unresolved. Copied or staged media can remain until reviewed or cleaned up. No automatic all-import deletion deadline is promised.
Deleting a campaign removes its recipient report, not the usage and financial record, suppression history, or the ability to unsubscribe through an earlier message. Request account-specific deletion through support; necessary financial, security, and preference records can remain.
